Definition and Scope

Sourcing services are outsourced procurement activities performed on behalf of a buyer. The case is different for an established buyer with its own purchasing team, long-standing factory relationships, and local operational resources. In that situation, outsourcing the entire sourcing process may add unnecessary cost or duplicate capabilities that already exist internally.

The decision should therefore be based on the gap between what the buyer needs to accomplish and what the buyer can reliably manage itself.


How to Define a Sourcing Service

Before engaging a provider, the buyer should define the expected output rather than accepting a vague promise to "handle sourcing." A useful scope identifies the products or categories involved, the number or type of suppliers required, whether samples are included, who negotiates commercial terms, how orders are followed up, what quality controls are expected, and where the provider's responsibility ends.

The commercial arrangement should also make clear how the provider is compensated and whether any supplier-side financial relationship exists. Transparency matters because the provider is expected to represent the buyer's purchasing interests.

When evaluating a provider, buyers can also verify its legal identity and registered business scope.
